Position: Office Manager
Reporting to: Commercial Director
Location: Malvern, Worcestershire – Office Based
Hours: Full time (37.5 hours per week)
Salary: £30,000 – £35,000 depending on experience
Purpose of the Role:

This role supports the business across key areas, including sales, finance, HR, compliance, facilities, and executive support. The ideal candidate will be proactive, highly organised, and confident in managing multiple priorities, ensuring that business operations run seamlessly and efficiently.

Key Responsibilities
Office Operations
- Oversee and coordinate daily office operations and administrative procedures to ensure efficiency and compliance across the business.
- Manage and support the Administrator on a day-to-day basis, providing guidance and leadership.
Sales & Bookings Administration
- Ensure all quotes, proposals, and invoices are accurate, properly approved, and sent promptly.
- Maintain accurate customer and sales records in the company’s CRM and accounting systems.
- Oversee client bookings to ensure they align with delivery capacity and client deadlines.
- Collaborate with relevant teams to ensure timely and high-quality service delivery.
Finance Administration
- Ensure purchase invoices are accurate and uploaded promptly to Dext.
- Support effective credit control and assist in general financial administration.
HR & Payroll Administration
- Oversee employee onboarding and offboarding processes, ensuring a positive and compliant experience.
- Maintain accurate and up-to-date HR records within the company’s HR system.
- Act as the first point of contact for HR-related queries, liaising with managers and the outsourced HR consultant as required to ensure compliance with employment legislation.
- Liaise with the accountant and Commercial Director to ensure accurate payroll data is submitted on time each month.
Facilities Management
- Maintain a safe, secure, and pleasant working environment.
- Act as the main contact for maintenance, supplies, equipment, mailing, shipping, and general office errands.
Compliance & Procurement Administration
- Support the maintenance of accurate and compliant company policies and supplier governance documentation.
- Liaise with the Compliance Manager as needed to ensure ongoing regulatory compliance.
- Monitor office supplies and equipment and manage purchasing supplier relationships effectively.
Executive Support
- Provide executive-level support as required, including diary management, meeting coordination, and the preparation of reports, presentations, and correspondence.
- Ensure meeting minutes and actions are recorded effectively and distributed promptly.
Customer Relations & General Support
- Communicate confidently with customers regarding the company’s services.
- Undertake ad hoc research, projects, or other duties to support the wider business as needed.
Organise team events, meetings, and logistics to support staff engagement and business development activities.

Other Essential Skills & Requirements:
- Level 5/C Grade or above in English and Maths GCSE.
- Educated to A Level or equivalent.
- >2 years of experience in a similar role.
- Computer literate – proficient in Google Workspace or MS Office, and adept at using accounting, CRM, HR and project management software.
Desirable Skills & Experience:
- Recognised business qualifications e.g. AAT, CIPD, BTEC.
- Educated to degree level or equivalent.
- Health & Safety or Mental Health training.
- IT/security industry experience.
- Working knowledge of Google Workspace, Dext, Xero, Safe HR, Hubspot and/or Click Up.
- Full clean driving licence.
Other things you should know
You must have the right to work in the UK.
You might be required to perform tasks on-site at various locations across the UK and overseas.
