Position: Office Manager
Reporting to: Commercial Director
Location: Malvern, Worcestershire – Office Based
Hours: Full time (37.5 hours per week)
Salary: £30,000 – £35,000 depending on experience
Purpose of the Role:

This is a key role that enables the rest of the business to run both efficiently and effectively. The position will provide business-wide support by managing the day-to-day administrative requirements and ensuring the office runs smoothly.

The Role:
Key responsibilities include:
- Ensure the accurate recording and reconciliation of financial transactions in Xero and liaise with our accountants to facilitate timely and accurate monthly financial reporting and payroll.
- Undertake credit control activities.
- Ensure accurate and up-to-date HR records within the company’s HR system, liaising with managers and our outsourced HR consultant as required.
- Provide sales administration support as required.
- Point person for general HR queries.
- Maintain a safe, secure and pleasant workspace. Be the point person for maintenance, mailing, shipping, supplies, equipment, bills and errands.
- Help maintain accurate and compliant company policies, liaising with our Compliance Manager as required.
- Provide client services and customer escalation support.
- Procurement administration and supplier management.
- Oversee employee onboarding and exit processes.
- Organise team events and logistics.
- Provide executive support as required.
- Help ensure that customer information stored on our accounting and CRM systems is accurate and up to date.
- Speak to our customers with confidence about our services.
- Undertake ad hoc research or other duties as required to support the business.

Other Essential Skills & Requirements:
- Level 5/C Grade or above in English and Maths GCSE.
- Educated to A Level or equivalent.
- >2 years of experience in a similar role.
- Computer literate – proficient in Google Workspace or MS Office, and adept at using accounting, CRM, HR and project management software.
Desirable Skills & Experience:
- Recognised business qualifications e.g. AAT, CIPD, BTEC.
- Educated to degree level or equivalent.
- Health & Safety or Mental Health training.
- IT/security industry experience.
- Working knowledge of Google Workspace, Dext, Xero, Safe HR, Hubspot and/or Click Up.
- Full clean driving licence.
Other things you should know
You must have the right to work in the UK.
You might be required to perform tasks on-site at various locations across the UK and overseas.
